- Manage office and ensure well maintained and safe working environment.
- Develop and implement efficient office procedures, ensuring a productive and organized work environment.
- Coordinate facilities management, including liaising with vendors and service providers.
- Plan and oversee office events, meetings, and conferences, lead, plan and execute for logistics, catering, and technical support as needed.
- Manage office supplies, equipment, and maintenance, ensuring availability and functionality.
- Serve as a point of contact and liaison between internal departments, external stakeholders, and the executive team, ensuring effective communication flow.
- Coordinate and schedule meetings, conferences, and appointments, ensuring all parties are well-informed and prepared.
- Collaborate with cross-functional teams to support project management and track progress on key initiatives.
- Facilitate internal communication, distributing information, and ensuring timely responses to inquiries.
- Maintain accurate records and files, both electronically and physically, ensuring confidentiality and accessibility as required.
- Manage travels and hotel bookings.
- Handle any other administrative tasks or special projects.
- Proven experience in project/office management, project management including office relocation and/or administrative roles.
- Strong organizational and time management skills, with the ability to handle multiple tasks and prioritize effectively.
- Bachelor's degree in business administration, management, or a related field (preferred).
- Excellent verbal and written communication skills, with exceptional attention to detail.
- Demonstrated ability to maintain confidentiality, exercise good judgment, and handle sensitive information.
- Strong problem-solving skills and the ability to adapt to changing priorities in a fast-paced environment.
- Creative, bright, pragmatic and dedicated, with strong relationship management and consulting skills.
- A team player who is happy working independently, as well as collaborating with colleagues in a matrixed organization.
