    Roles & Responsibilities

    The 6-month contract staff joining the Catering and Logistics (C&L) team will be responsible for:

    The responsibilities of this role are:

    • Manage a pool of SA(Admin Support):Recruiting and onboarding new SA(Admin Support).
      Implementing a training programme for newly onboarded SA(Admin Support).
      Coordinating and supervising SA(Admin Support) for logistics preparation.
      Track SAs' time and hours for accurate payroll and compliance with Work on Campus Scheme limits.
    • Catering (Placing Order):Coordinate catering services to provide meals, snacks, and beverages during breaks and lunchtime.
      Select caterer(s) and menus that suit the course events, allocated budget, and participants' preferences.
    • Catering (Logistics Planning):Conduct site visit to any new offsite course venue.
      Ensure the catering area is set up aesthetically pleasing and functional.
      Ensure the catering area is promptly cleaned up, disposed of waste, and reinstated to original condition.
    • Catering (Feedback & Follow-up):Review the catering process and participants' feedback, and identify areas for improvement in food quality, logistics, or customer service.
      Provide prompt feedback and follow up with the caterer(s) on the areas for improvement.
    • Procurement & Logistic Support (External Course):Conduct site recce to establish external course venue is suitable based on factors like seating capacity, catering arrangement, facilities, and accessibility.
    • Procurement & Logistic Support (Materials and Supplies):
      Procure and securely store training materials, stationery, and specialized resources required for SMUA courses.Books, Case Studies, handouts, and workbooks,
      Flipcharts, markers, and sticky notes,
      Notepads, pens, and other stationery items.
      Ensure timely delivery of the materials to ensure trainers can deliver training programs efficiently.
      Arrange for sufficient supplies of flipcharts, markers, and stationaries for all course sessions.
      Print and provide clear signage and instructions to the course venue to guide participants.
      Print name tents and group tents for course participants.
      Provide packed Welcome Bags for course participants.
    • Procurement & Logistic Support (Budget Management and Records Keeping):Develop and manage a comprehensive budget that covers all logistic and procurement expenses.
      Track and control expenses to ensure they stay within budgetary constraints.
      Maintain detailed records of procurement transactions, contracts, and receipts for financial and auditing purposes.
    • Enhance Process Improvement:Identify opportunities for process improvement and optimization.
      Evaluate possible options and potential consequences to identify the most suitable solution/approach.
      Propose and implement the agreed solution(s) or approach to enhance operational effectiveness.
    • Develop, implement, and maintain relevant dashboards.
    • Any work or projects as assigned by Ops Cluster Leads, including course support deployment.
