- Present a polished, professional appearance and demeanor, ensuring a positive impression for all visitors.
- Maintain the reception area in a professional and orderly manner throughout the day.
- Facilitate the issuance of visitor passes and diligently maintain the guestbook for both visitors and vendors.
- Transportation and hotel arrangement for guests and visitors.
- Promptly notify relevant company personnel upon the arrival of visitors.
- Answer incoming calls promptly, employing a clear, professional, and amicable tone.
- Provide helpful assistance to ensure callers receive the support they need.
- Effectively transfer calls to the appropriate point of contact on-site in a timely manner, ensuring seamless communication.
- Receive and meticulously record incoming mail, parcels, and packages, whether delivered by hand or through courier services.
- Efficiently distribute incoming mail and parcels to the designated recipients.
- Coordinate the arrangement of courier dispatches and meticulously verify courier invoices.
- Skilfully process Local & Overseas courier shipments in adherence to company protocols and standards.
- Manage procurement and inventory control of essential office supplies, ensuring seamless operations.
- Review bills meticulously within the IPA system for prompt and accurate payment processing.
- Support the Onboarding and Offboarding functions of staff that includes:
- Telephony and mobile phones arrangement.
- Phones, nametags, transportation & seat arrangements.
- Assist with Internal and External Events coordination including festive decors in office.
- Other Additional ad hoc assignments as delegated by the manager.
- Secondary School Certificate or Equivalent (GCE "O" or GCE "N" may apply).
- Proficiency in basic office software and phone systems. (Knowledge on Microsoft Teams will be advantage)
- Organized and detail-oriented.
- Excellent interpersonal and communication skills.
- Strong organizational abilities and attention to detail.
- Ability to multitask and prioritize tasks in a fast-paced environment
- Previous experience in a similar role preferred but not required.
