    Roles & Responsibilities

    SCOPE OF WORK

    Need a Planner is an event operations company that believes, everyone deserves help.

    The Event Executive would report directly to the Event Director and/or Managing Director. The ideal candidate should demonstrate exceptional organizational abilities, superb interpersonal skills, multi-tasking skills, and excellent time-management. The noteworthy Events Executive should reinforce client-to-business relations, improve the organization's image, and effectively deliver on event objectives through supporting the team and projects.

    KEY RESPONSIBILITIES:

    • Identify, negotiate contract, and manage vendors such as venue providers, event agencies, creative designers, vendors, and suppliers for the successful delivery of premium events.
    • Liaison between clients and vendors leading up to the event, ensuring clients' expectation and event requirements are met.
    • Coordinate and manage the set-up and production of the event on-site, ensuring the successful delivery of high-quality events.
    • Plan and propose workflows for all events to ensure smooth operation and execution throughout each event. Track workflow for events including adherence to timelines and evaluation of results on overall project goals.
    • Logistics management and inventory control of all equipment, material, and any other items.
    • Research, manage, conceptualising and implementation event plans with the Event Director and/or Managing Director
    • Handling of budgets and invoicing
    • Negotiating sponsorship deals
    • Updating senior management
    • Managing branding and communication
    • Developing event feedback surveys
    • Obtaining permits and all necessary licenses for the event
    • Supporting the events team with post-event reports

    REQUIREMENTS:

    • Minimum 1-3 years' event management experience in a similar capacity
    • Good network of suppliers and contractors contacts
    • Passion for events and communication with an accurate eye for details
    • Ability to handle pressure, multi-task, and work within tight schedules/deadlines.
    • Ability to communicate at all levels clearly and effectively in a range of methods (i.e. written, verbal, formal presentation)
    • Highly competent in MS Office Skills, particularly Excel and PowerPoint
    • Adobe Photoshop knowledge is a bonus.
    • Driving license, a plus
    • Any other logistics and operations experience
