    Roles & Responsibilities

    This role is an in-office based position, responsible for providing Executive Assistant support to the Wealth Management Operations Director and the immediate team. This can sometimes extend more broadly as required. Reporting into the Asia Operations services lead, you will be a reliable and motivated individual, demonstrating a high level of teamwork, flexibility and confidentiality, as well as strong problem-solving skills.

    As an Executive Assistant, you will perform diverse secretarial duties and administrative functions requiring extreme confidentiality, initiative and sound decision-making and coordinate efforts with the other admins across Private Bank. You will rely on excellent organizational skills and the ability to effectively handle multiple priorities. You will need to adapt procedures, processes, and techniques to the completion of assignments and in line with the department's activities and goals.

    Duties also include meeting and travel coordination; managing calendar and recurring client / team events, submitting expenses via Concur, phone coverage, and reviewing incoming correspondence / emails and preparing responses.

    Administrative support


    • Effectively prioritize the commitments and manage calendar for the Private Bank Operations Senior Leadership based in Singapore; includes coordination with administrative colleagues to schedule meetings, calls, events, and other activities


    • Deliver seamless engagement experiences by managing meeting logistics, including preparation, distribution, and/or printing of materials, maintenance of calendar invites and RSVPs, greeting guests, and preparing technology (video conferencing, collaboration tools, etc.) in advance


    • Plan for and execute executive travel arrangements, including international and domestic itineraries, bookings, and briefing materials preparation


    • Assist with coordination of events including scheduling, catering, preparing materials, and overseeing logistics as assigned


    • Manage executive contacts with discretion, including tracking stakeholders, maintaining updated records of organizational charts and bios, and fostering relationships with administrative staff


    • Provide telephone coverage as needed and assist in other projects or responsibilities as directed

    In addition to this, the Executive Assistant job performance expectations will include:


    • Ability to work in a fast paced, ever changing environment and to effectively handle multiple priorities with a calm, professional and flexible attitude


    • Ability to work independently as well as part of a team to ensure that the needs of the business needs are always met and adequate assistant coverage is provided to the group


    • Expense Management, compiling and submitting expense reports and invoices payment in a timely manner.


    • Assist in various business management related projects

    Required qualifications, capabilities, and skills


    • At least 4 years of experience in an Executive Assistant role


    • Effectively grasp new concepts quickly


    • Strong inter-personal and partnership skills, i.e. develop relationships with peers as well as with Operations teams


    • Polytechnic diploma holder or equivalent

    Preferred qualifications, capabilities, and skills


    • Proficiency in Microsoft Office applications (Outlook, Word, PowerPoint), particularly in PowerPoint to generate decks is highly preferred


    • Experience with other workplace software (Concur, Salesforce, etc.) is a plus


    • Proficiency in a data visualization tool (Tableau, PowerBI) is preferred


    • Prior relevant experience within the financial services industry
