    Roles & Responsibilities

    Administrative Services (Associate II)

    12-months contract

    Key responsibilities:

    • General administrative support – perform clerical tasks, manage calendars for site meetings/events, oversee meeting room usage, arrange AV support for leadership team managed meetings. Coordinate candidate interviews, facilitate onboarding for new hires.
    • Site operations support – manage office equipment functionality, monitor & order inventory for office and pantry. Administer site records and documents in compliance with company policies, maintain org charts, contact/distribution lists, SharePoint and assist with front desk management for receiving visitors/deliveries. Collaborate with site leadership for office improvement projects and streamline operations for maximum efficiency.
    • Support site events and hosting of visitors – support site-wide events, coordinate meetings, trainings, workshops, social/team-building events. Manage on-site visitors, host overseas visitors from other sites, manage logistics and agenda for visitor meetings.
    • Secretarial support to the site leadership team – provide secretarial support to the site leadership team, such as expense claim, announcements, ad-hoc team events/celebrations, calendar management, business travel support. Support the site leads to achieve its business objectives by working closely with scientists and support functions (e.g., EHS, IT, Facilities, HR).
    • Coordination and collaboration with other administrative service associates to maximize team efficiency. Prioritize, coordinate tasks, and offer support / provide backup for other admin associates when required.
    • Practice financial stewardship by undertaking activities to support cost effectiveness and reducing waste.

    Requirements

    • Diploma or degree or equivalent, additional certifications or training in administrative, secretarial, or related fields.
    • Minimum 3 years of relevant work experience as an administrative associate in MNC companies
    • Experience in general office procedures and administrative best practices.
    • Proficient in using office software and technology, such as Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), SAP, Ariba, Concur, and office equipment (printers, scanners, etc.).
    • Strong computer, digital and IT literacy.
    • Excellent verbal and written communication skills, including strong interpersonal skills.
    • Self-starter and proactive problem solver, capable of thinking of solutions with minimal supervision.
    • Team player with a positive can-do attitude, and adaptable to changing environments.
    • Exceptional time and multitasking abilities with a keen attention to detail with tight deadlines.
    • Good initiative and willing to think of solutions to resolve work problems with minimum supervision.
    • Ability to handle confidential and sensitive information.
