    Roles & Responsibilities

    Personal Assistant to Project Manager

    Responsibilities

    • Manage daily administrative tasks for the Project Manager including scheduling meetings, managing calendars, making travel arrangements, and handling correspondence.
    • Assist in coordinating project activities, from maintaining project documentation to tracking timelines and deliverables.
    • Facilitate communication between project teams and other stakeholders.
    • Prepare, organize, and store project documents and contracts.
    • Ensure all necessary materials are current, properly filed, and stored.
    • Arrange and prepare for meetings including creating agendas, reserving venues, and organizing necessary equipment and materials. Take detailed meeting minutes and follow up on action items.
    • Serve as a liaison between the Project Manager and other staff or external contacts.
    • Efficiently handle incoming and outgoing communication on behalf of the Project Manager.
    • Assist with the preparation of project reports and presentations.
    • Collect data and assist in maintaining comprehensive project documentation.
    • Track expenses and prepare expense reports for project-related purchases and travel.

    Requirements:

    • Minimum Diploma in any Engineering field / Business Administration or equivalent
    • At least 1 – 2 years of relevant experience in the constructions industry
    • Candidate with project coordination experience in constructions industry are welcome to apply
    • Good communication skills and attention to detail
    • Able to work in a fast pace environment
    • Able to start work immediately / within short notice is a plus
